    Letter of Invitation

    Dear Sir or Madam,

    Co-organized by General Administration of Sport of China, Maritime Safety Administration of the People’s Republic of China, State Oceanic Administration of the People’s Republic of China, Beijing Olympic City Development Association and Qingdao Municipal Government, the 4th Qingdao International Sailing Week is scheduled to take place at Qingdao Olympic Sailing Centre from August 18th to September 2nd, 2012. With the theme of carrying on Olympic Spirit, and building up the sailing city, the sailing week comprises parts including sailing culture, sailing industry and sailing popularization, which highlight the International Olympic Sailing Culture Exchange and International Sailing Events.

    To enhance international sailing culture exchange, during the International Sailing Week, Qingdao will hold such a series of activities as sailing photography works collection, appraisal and exhibition, which is open to the whole world. Any works related to sailing, covering international major sailing regattas, sailing festivals, sailing events and celebrities, recreational sailing of the general public, sailing popularization among the youth, and international sailing culture exchange could be recommended. The collection will last from January 1st to July 1st, 2012. We sincerely invite you to join us with your excellent works.

    The Judge Panel will be comprised of officers from IOC, ISAF and other international organizations and photography experts. The first prize winner will be invited to attend the opening ceremony of the International Sailing Week on August 18th and the expenses of international travel as well as local accommodation shall be borne by the organizing committee.

    The Fourth Qingdao International Sailing Week

    Notice for Worldwide Sailing Photographic Submissions

    Qingdao was host to the sailing competitions of the 2008 Beijing Olympic Games. Qingdao International Sailing Week is important in carrying on the Olympic spirit, establishing the brand image of the “Sailing City” , and a brand name event for the “the Core Zone of the Blue Ocean Economy”. It intends to become a major event for Olympic and international sailing, through the interaction of sports and culture, passions and dreams, as well as competition and entertainment. In order to encourage cooperation within the international sailing culture, promote the image of a Cultural Qingdao and boost Qingdao into an information centre for international sailing events, Qingdao Major International Sailing Events (Festivals) Organizing Committee has made a decision to call for sailing photographs worldwide. Entries will be judged by a jury comprised of officials from international organizations such as the International Olympic Committee and the International Sailing Federation, as well as experts in photographic art. In addition, the representatives of the prize-winners will be invited to attend the awards ceremony during the International Sailing Week.

    3. What Kind of Photographs to Submit

    Photographs from home and abroad are welcomed: those related to sailing activities, sailing festivals and events, sailing activities for the general public and youth; and those reflecting the cultural exchange in international sailing. Images should demonstrate the great development and progress of the modern sport of sailing.

    Selected photographs will be used for permanent exhibition in the Qingdao Olympic Sailing Museum. The entries which are selected will not be returned.

    4. Photographs To Be Involved

    (1) Photographs recommended by organizations including Olympic Sailing Museums in different countries, host cities for Olympic Sailing Competitions, host cities or organizing committees for International Sailing Week (Festivals) in different countries and sponsors for major international sailing competitions and other sailing-related groups.

    (2) Photographs by professional and amateurs in sailing photography.

    5. Deadline

    The submission period is from January 1st to July 1st, 2012.

    6. General Rules

    (1) All the organizations and individuals participating in the competition (exhibition) shall have copyright property rights to the submitted entries, making sure that there are no infringements to intellectual property rights or other rights of any third party. In case of any act of infringement or material or spiritual loss charged in the above mentioned situation, whoever has submitted the photograph concerned will be fully responsible and neither the Notice-for-Worldwide-Sailing-Photographic-Submissions agent itself nor the organizers will be responsible.

    (2) Participants shall agree that the sponsor has the right to use the prize-winning photographs, and that the organizers can exhibit, display or publish them.

    (3) During the period of the competition, all the submissions can be shown on the Internet, in newspapers, periodicals and relevant printed materials for the event. Once the entries are submitted, each participant will be regarded as having agreed with the organizers’ right of use for the works (copyrights are still reserved in the photographer). No extra remuneration will be paid.

    (4) The participants should agree that the Qingdao Major International Sailing Events (Festivals) Organizing Committee reserves the right of final explanation to the rules of this initiative. All participants who submit photographs will be considered as having agreed with, and will abide by, the above rules. If photographs cannot meet these requirements, they shall be disqualified from participating in the photographic competition.

    7. How to Submit Your Entries

    (1) All the organizations and individuals participating in the photographic competition (exhibition) shall download the application form from the official website(www.qdsailing.org), and print out the form after filling it as required; in addition, a copy of valid identification of the participant (organization) shall be submitted.

    (2) Entries are required to be submitted in digital form. Specifications for the photos: 10 inches, 10×10 inches for square-shaped photos,versions in colour, black and white or digital form are all acceptable. The photographs shall not be mounted. Images should be 3MB minimum,in JPEG format, and submitted on-line. The organizers will not accept photographs using computer design or which have been changed from their original images. (The brightness, contrast ratio and colour saturation of the photos can be adjusted moderately; such techniques as combining, addition or a great change in colour shall not be allowed). The number of photo series is limited to 4 to 6 per applicant. E-mail is fgzxacb@163.com.

    (3) The following information shall be attached in English to the entries: the title, the original images in film or digital work,the affiliation of the participant, the photographer’s name, age, detailed mailing address, postal code and contact number (cellphone number). Please indicate the title of each image or series of images, and the subject of photographs. A brief description of each photograph, including the people, date/time, place and event in the image. If the description is incomplete or does not relate to the photo, the submission shall be deemed as invalid.

    8. How the Entries Are Selected

    Qingdao Major International Sailing Events (Festivals) Organizing Committee will determine the list of prize-winners by the following means:

    (1) Photos submitted shall be reviewed by the panel of experts.

    (2) If permitted, photos submitted shall be released to both the official websites of the World Union of Olympic Cities and other organizations, and such renowned gateway websites as Sina.com and Tencent.com for public review and voting.

    9. Awards

    Certificates of Honor and a set of exquisite souvenirs will be awarded to each organization and individual which is granted prize.

    Prizes will be awarded according to different categories. The following prizes are set for the selected entries:

    One first prize, 3,000 US dollars;

    Three second prizes, 2,000 US dollars;

    Six third prizes, 1000 US dollars.

    The organizing committee office will withhold the taxes for the awards in accordance with China’s tax regulations. Some trophy prizes which include a set of souvenirs are also available.

    10. Notes:

    (1) The above mentioned submitted works should be contributed in accordance with the submission guidelines.

    (2) There is no limit in the number of total contributed works. No charges for review, but the postage fees will be at the expense of the contributors.

    (3) Once entries are submitted, the contributor is considered to have agreed to the validity of this notice.
